Executive Assistant to CEO

The challenges you’ll help to tackle
We are looking for a dynamic and self-motivated Executive Assistant to support our CEO.
This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while prioritizing and executing multiple tasks. 
The ideal candidate will not necessarily be an experienced person but someone that has the right mindset, soft skills, curiosity and interest in digital and tech. 
The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. 
The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.


Missions:
  
  • You will proactively manage and optimize CEO’s calendar  
  • You will handle the mail box and support him on composing and preparing correspondence 
  • You will organize meetings on behalf of the CEO and other members of the executive team and support on the task management  
  • You will coordinate logistics for internal and external meetings  
  • You will be expected to assist in the preparation of presentations, reports and documents on various topics  
  • You will organize travel arrangements and take care of the organization on site  
  • You will coordinate special assignments and projects  
  • You will draft, edit and finalize documents  
  • You will support filing, printing, scanning and archiving files and ad hoc administrative tasks  
  • You will act as a point of contact and gather inquiries that are addressed to the CEO, among management and employees  
  • You will prioritize inquiries and requests of various internal and external parties at all levels  
  • You will assist in the preparation of speeches for the CEO   
  • You will support and help him on personal administrative requests  
  • You will support in internal communication with HR and Corporate Development  
  • You will support and/or create material for the CEO for company or client’s events  
  • You will liaise with and support other functions when needed (Corporate development, HR, Office Manager, COO, etc.) 
Who you are
  • You have 1 to 3 years of previous experience 
  • You have worked in a fast-paced environment or growing start-up, ideally in the finance sector     
  • You are fluent, even native in English. We expect impeccable written and oral level
  • You possess advanced knowledge in computer skills, with both Google space and MS Office   
  • You have a background or a high interest in digital or tech and you are tech savvy
  • Knowledge of standard administrative practices and procedures is an asset
  • You are comfortable working in a changing and challenging environment
  • You are assertive and straight to the point, with interpersonal skills
  • You have excellent time management and organizational skills
  • You are proactive and are excellent to meet deadlines
  • You have impeccable written and communication skills
  • You are problem-solving and decision making
  • You have a high sense of confidentiality
  • Finally, you have an incredible sense of humor :)
